The Coaching Registry is an independent registry based in California, United States.

IIScope and minimum age

This policy explains how we handle personal information collected through our website, the coach account and application process, and the emails we send. The Coaching Registry and its coach-application process are intended for people aged 18 and older.

Browsing the Registry does not require an account. Accounts exist only for coaches who apply for inclusion or manage a listed profile.

IIIInformation we collect

Coach accounts. When a coach creates an account with an email address and password, or by signing in with Google, we store an account identifier, the email address, the name provided, and the account type. Passwords are handled by our authentication provider; we never see or store them. When Google sign-in is used, Google confirms the sign-in and shares basic account information such as the email address and name.

Saved application drafts. While a coach fills in an application, the answers entered are saved to that coach's account so the application can be resumed later, including from another device. Files selected during a draft — a headshot and any supporting documents — are uploaded immediately to private storage and are linked to that coach's account.

Submitted applications. A submitted application contains the professional information entered by the coach: name, contact email, location and time zone, languages, meeting type, biography and approach, specialties, years of experience, links, professional coach education, listed professional credentials and any credential numbers, dates, and the supporting documents uploaded.

Emails we send. We keep a record of the transactional and reminder emails sent to an address, together with unsubscribe and suppression records.

Website usage. With your permission, we use Google Analytics to measure ordinary website traffic and usage. See section VII.

IVHow we use information

We use this information to operate coach accounts, to save and restore application drafts, to review each application personally, to verify professional coach education and, where applicable, listed professional credentials through authoritative sources, to publish approved coach profiles, to send account and application emails, to keep the service secure, and to keep accurate records of what we reviewed.

Where a reason for processing must be described in legal terms, the reasons are: providing the account and application process the coach requested; our legitimate interests in review, verification, security, administration, and accurate records; your consent for optional analytics cookies; and compliance with applicable legal obligations.

VWhat is published and what is not

If an application is approved, the coach's public profile displays the information intended for publication: name, headline, location and time zone, languages, meeting type, biography and approach, specialties, years of experience, professional status, public links, and the contact or scheduling link the coach chose.

The following are never published: the account email address, credential numbers, uploaded supporting documents, private verification materials, internal review notes, and saved drafts. A draft or a pending, declined, or withdrawn application is not published.

VIEmails and your choices

Optional application reminders respect unsubscribe preferences — if you unsubscribe, we stop sending them. Essential notices required to provide the service may still be sent: security and account notices, submission and review notices, and the draft-expiration warning described below. Email addresses that hard bounce or generate an abuse complaint are suppressed entirely and receive no further email.

VIICookies and analytics

Necessary storage keeps you signed in and remembers interface preferences, and is required for the site to work.

Google Analytics is optional and does not load or collect any data until you select Accept in our cookie notice. If you Decline, Analytics stays disabled. You can change your choice at any time using the Cookie preferences control in the footer.

Our Analytics property is configured for ordinary traffic and usage measurement only. Google signals is off, ads personalization is disabled in all regions, no Google Ads account is linked, and optional account-level data-sharing settings are off. We do not use Analytics for advertising, remarketing, or personalized advertising, and we do not sell personal information.

VIIIRetention

Unfinished drafts. An application draft that has been inactive for 90 days, together with the headshot and supporting documents saved with it, is deleted automatically. Seven days before that deletion we send one warning email so the draft can be resumed. A coach can also delete a draft at any time from the application.

Submitted and approved records. Submitted applications, their supporting documents, and published profiles are currently retained while the account exists and the record is needed for review, publication, and accurate verification records. We do not currently run automatic deletion of submitted, declined, or approved records. You can ask us to remove a profile or delete applicable personal information as described below.

Email delivery, unsubscribe, suppression, and ordinary security records are kept as long as needed to run the service reliably and prevent abuse.

IXService providers

We use Supabase for the database, authentication, and private file storage; our hosting provider to serve the website; an email delivery provider to send transactional and reminder emails from our domain; Google for optional Google sign-in and, with your consent, Google Analytics. These providers process information on our behalf to provide these functions.

XYour requests

You can ask to access or correct your information, remove a public profile, delete your account, or delete applicable personal information by emailing privacy@thecoachingregistry.com. We normally respond within 30 days, subject to limited legal, security, fraud-prevention, and recordkeeping exceptions.

XISecurity

Accounts are protected by our authentication provider. Uploaded headshots and supporting documents are stored privately and are accessible only to the coach who uploaded them and to Registry review. Database access is restricted by row-level security rules.
